UKRAINIAN ARCHIVAL COMPANY
20.04.2023 – Ukrainian Archival Company won the procurement in open bidding with peculiarities under CPV 021:2015 — 79970000-4 Publishing services (Prozorro number UA-2023-03-24-000868-a). Under the concluded Contract, the company’s specialists provided binding services totaling 2,000 files.
05.05.2023 – With Ukrainian Archival Company a Contract was concluded based on the results of open electronic bidding with peculiarities, as with the winner, for services under CPV 021:2015 — 79995100-6 Archival services (Prozorro number UA-2023-04-06-004888-a). Arrangement, appraisal of the scientific and practical value of documents, formalization of inventories, drafting of a preface and a historical note, binding works, and approval at the Central State Archive of Higher Authorities and Administration were performed. The number of files under the Contract was 265.
01.06.2023 – With Ukrainian Archival Company a Contract was concluded based on the results of a simplified procurement on the SmartTender e-platform, as with the winner, for services under CPV 021:2015 — 79990000-0 Miscellaneous business-related services (Archival services for scientific and technical arrangement of documents) (Prozorro number UA-2023-05-18-012002-a). Purpose of the service — scientific and technical arrangement (archiving) of documents and files of management reporting and HR (personnel) documentation totaling 380 files. Formation and formalization of files was carried out in accordance with the “Rules for organizing records management and archival storage of documents in state bodies, local self-government bodies, enterprises, institutions and organizations”, approved by Order of the Ministry of Justice of Ukraine No. 1000/5 dated 18.06.2015; binding works were performed using: cardboard, thickness 1.2–1.8 mm, grade PKS-1, bumvinyl, dense nylon binding thread, thickness 0.7–1.3 mm. A copy of the file plan of records stored in the records management unit (indicating retention periods) was compiled.
06.05.2025 – based on the results of open bidding with peculiarities, Ukrainian Archival Company, as the winner in two lots of the procurement, Prozorro number —
UA-2025-04-14-004670-a , procurement subject according to CPV 021:2015: 79990000-0 Miscellaneous business-related services, signed contracts:
LOT 1 – procurement subject — CPV 021:2015: 79990000-0 Miscellaneous business-related services (Services for arranging documents of the archive of SS “ENERGOSBYT”). Under the Contract, the Contractor provided the Customer with the following services:
– Appraisal of the practical and scientific value of documents with page-by-page review
– Formation of files from documents
– Arrangement of files within fonds by year or structural units
– Drafting of file titles
– Numbering of sheets in files
– Formalization of file covers and certification sheets
– Affixing archival reference codes on file covers with stamps, etc.
– Compilation of a register of missing documents (as needed)
– Binding works (binding of files) (contractor’s materials)
– Compilation and formalization of inventories: of permanent retention files and HR (personnel) files, and their approval and endorsement at the State Archive of the City of Kyiv
– Compilation of a historical note
– Drafting and formalization of a preface
– Drawing up and formalization of an act on withdrawal for destruction of documents not included in the National Archival Fonds, with its approval at the State Archive of the City of Kyiv.
Formation and formalization of files was carried out in accordance with the “Rules for organizing records management and archival storage of documents in state bodies, local self-government bodies, enterprises, institutions and organizations”, approved by Order of the Ministry of Justice of Ukraine No. 1000/5 dated 18.06.2015.
Binding of files was performed using the participant’s materials, namely:
Cardboard, thickness 1.2 mm, size 310×215, grade PKS-1
Paper-based covering material — bumvinyl
Binding thread — dense nylon, thickness 0.7–1.3 mm.
65 HR (personnel) and permanent retention files were prepared for storage in the institution’s archive.
LOT 2 — Services for arranging documents of the archive of SS “KYIV TPPs”. Under the Contract, the Customer was provided with services for arranging documents of permanent and long-term retention for 2018–2022; the procurement volume is 162 files. The service for arranging documents of the archive of SS “KYIV TPPs” includes:
– appraisal of document value,
– formation of files,
– arrangement of files within fonds,
– arrangement of sheets in files by date, type and/or alphabet,
– drafting of file titles,
– numbering of sheets in files,
– formalization of file covers,
– affixing archival reference codes on file covers, etc.;
26.05.2025 – based on the results of open bidding with peculiarities for procurement — CPV 021:2015-79970000-4 — Publishing services (Services for binding archival and other documents), Prozorro number — UA-2025-05-16-001961-a, the Customer concluded Contract No. 37-125-01-25-01371 dated 16.06.2025 with Ukrainian Archival Company. The structure of services for binding archival and other documents includes: Cover preparation (cutting to the format according to the sample provided by the Customer). Cover pasting to the dimensions set by the Customer. Document gathering. Sewing of the book block with thread. Labeling of books (spine and cover). Cutting of documentation. Stitching of documentation. Edging. Folding. Removal of metal staples. Removal of documents from plastic sleeves. Formatting, trimming, and pasting of documents. Relocation of documents to the designated place of order fulfillment. Evening out the spine thickness of documents (using additionally manufactured inserts of various lengths and heights). Production of accounting documents in landscape and portrait A4 format, from 50–250 sheets, cover fully coated with bumvinyl, color as ordered. Procurement volume — 569 files. Works are scheduled through 31.12.2025 based on the Customer’s requests.
18.06.2025 – Ukrainian Archival Company won open bidding with peculiarities for procurement under Prozorro number — UA-2025-06-10-008445-a, subject — Services for arrangement and archiving of documents (CPV 021:2015: 79990000-0 Miscellaneous business-related services (79995100-6 Archival services). Under Contract No. 88 dated 27.06.2025 the contractor provides the following services: Formation of files from documents and re-formation of files, Appraisal of practical and scientific value with page-by-page review, Numbering of sheets in files, Unbinding of incorrectly formed files and removal of paper clips, Compilation of internal inventories of documents in files, Formalization of file covers and certification sheets, Pasting of title and certification sheets, Affixing archival reference codes on file covers with stamps, Binding works together with materials.
Procurement volume — 354 files
17.09.2024 – Contract No. 13/33731-R dated 17.09.2024 was concluded between Ukrainian Archival Company and PJSC “UKRNAFTA” based on the results of open bidding with peculiarities, Prozorro number — UA-2024-07-26-006049-a, subject — 79990000-0 Miscellaneous business-related services (Services for arranging the archival fonds for the needs of PJSC “UKRNAFTA”).
Under the Contract, the Customer was provided with services for arranging archival documents totaling 300 files. List of services provided:
– Arrangement of archival documents and files within the fonds to clarify and date them for 2019–2023
– Appraisal of the scientific and historical value and practical need for documents and files for 2021–2023 to select them for permanent, long-term, or temporary retention (with page-by-page review)
– Arrangement of files, formation of files from documents, and re-formation of files
– Drafting of a preface to the file inventories
– Compilation of file inventories
– Printing and formalization of file inventories together with consumables
– Binding of files
– Formalization of file covers
– Completion of title and certification sheets
– Numbering of sheets in files (standard A4 sheet)
– Numbering of non-standard format sheets
– Removal of staples from documents fastened with a stapler
– Affixing archival reference codes on file covers
– Drawing up acts on completion of document and file arrangement
29.08.2024 – based on the results of open bidding with peculiarities, Ukrainian Archival Company, as the winner in two lots of the procurement, Prozorro number —
UA-2024-07-31-003504-a, procurement subject according to CPV 021:2015: 79971000-1 Binding and finishing services for books, signed contracts:
LOT 1 – procurement subject — CPV 021:2015: 79970000-4 Publishing services (Binding services and services related to binding).
Services were provided in accordance with the “Rules for organizing records management and archival storage of documents in state bodies, local self-government bodies, enterprises, institutions and organizations”, approved by Order of the Ministry of Justice of Ukraine No. 1000/5 dated 18.06.2015, the Contract requirements, and the applicable legislation of Ukraine.
Under the Contract, the Contractor provided the Customer with the following services totaling 220 files:
– Compilation of a historical note
– Appraisal of practical and scientific value with page-by-page review; determination and clarification of fonds affiliation of documents
– Arrangement of files, formation of files from documents, and re-formation of files
– Drafting of file titles
– Numbering of sheets in files
– Formalization of file covers and certification sheets
– Acceptance and handover of files after completion of arrangement works
– Compilation of file inventories
– Drafting of a preface
– Drawing up acts on selection of documents for destruction
– Arrangement of delivery of materials or files for binding works
– Binding works together with materials
– Approval at the State Archive
– Printing and formalization of inventories together with consumables
– Affixing archival reference codes on file covers with stamps
The Contract was performed in full within the established term.
23.08.2024 – Ukrainian Archival Company won the procurement for the subject — Miscellaneous business-related services under CPV code CPV 021:2015-79990000-0 (Service for appraisal of value and scientific and technical processing of documents of the Solomianskyi District State Administration in the City of Kyiv), and concluded Contract No. 106/108/10 dated 23.08.2024, under which the Customer was provided with a set of services for scientific and technical processing of documents, namely:
– Formalization of title and certification sheets;
– Pasting of title and certification sheets;
– Affixing stamps on file covers.
168 files were prepared for storage in the institution’s archive. The Contract was performed on time and in full.
