These institutions generate large volumes of documents related to patient records, licensing requirements, employee records, and more. We manage cost-reduction processes and deliver required information in real time based on transparent metrics.

Reducing document volume through disposition and destruction, reducing stored document volumes, reducing storage and access costs, converting paper documents to electronic data, and implementing electronic document platforms.
We will accept healthcare institution documents for storage in our archive repository. This significantly reduces the cost of setting up your own document archive and optimizes document access workflows. Through instant search for the required document in our archive repository software, we will quickly locate it upon request and provide access. You save at every stage: archive space, shelving, other equipment, utilities, staff payroll, and search time.
Your documents will be securely packed in neat archive boxes, barcoded, registered in our archive management software, and stored on shelving in a protected archive repository.

At the request and need of our healthcare sector Clients, Ukrainian Archival Company implements digital transformation projects. Creating electronic databases of medical records, personnel files, and other documents is part of our team’s daily work. Documents stored in our archive repository can be provided for use as originals or as scan copies, saving time and costs on transporting originals.
We will accept medical records for safekeeping in our archive repository. Convenient search and instant retrieval of the required file through our specialized archive management software and barcoding of boxes and documents.
When required, we will prepare a detailed inventory of documents in boxes. Our Client receives this inventory in both electronic and paper form and submits requests for document access based on this inventory.
We provide durable archive boxes and pack documents required for storage. Each box is barcoded by our archive management software and placed in the archive repository at the designated location.
Stored documents can be accessed upon request. Client staff responsible for the partnership submit requests for required documents based on the inventory and receive originals or scan copies as needed.
Disposition of documents past their retention periods is carried out in full compliance with applicable legislation. Document disposition allows accounting to close prior periods and reduce stored document volumes.
Under applicable legislation, all documents relating to hired employees must be stored in the format prescribed by regulatory documents. We will select the required documents, compile them into files, and prepare these files for further storage.
We scan large document volumes. We have the necessary equipment to scan documents of any format and volume, create an electronic register, and index them by the required search attributes. We develop and implement electronic archives.
Developing and implementing electronic archive software is a comprehensive task. There are relatively few software solutions for electronic archives on the Ukrainian market. Available solutions must be evaluated against client needs and technical capabilities. With our electronic archive software partners, we address these requirements comprehensively.
Following document processing at institutions, inventories of permanent and long-term retention files, acts for destruction of documents, and records retention schedules must be approved by state archives, confirming that the work was performed correctly.
